D + J Lettings – Covid 19 Coronavirus Policy – Updated 16 May 2020

In the light of the Government’s announcement to start viewings and conduct move-in's we have reviewed our existing processes and procedures as follows.

Please note that these changes are essential to ensure the safety of our staff and clients and will be updated as necessary.

Dharmesh and Jyoti are shielding and are available by telephone, email and Zoom meeting. Please note all property visits will be conducted by our Property Administrators, Chloe O’Dell and Jay Patadia.


We’re not encouraging physical viewings unless it is deemed essential and applicants will be asked to confirm the following before attending the viewing:

  • Attending the viewing with your own PPE (minimum gloves and masks).
  • You or no one in your household has Coronavirus, show symptoms of Coronavirus or are self-isolating.
  • Maintaining the Government guidance of 1 person per viewing You have seen the property on Google Street and/or visited the property location.
  • You will have 15 mins max. to view the property.
  • You will not touch anything in the property.
  • You must follow the direction of our staff and maintain a min 2m distance at all times.
  • If your circumstances have changed between booking the viewing and the date of the viewing you will contact us immediately.
  • If the property is occupied, the occupier must agree to leave the property during the viewing.
  • You have read guidance from Government about moving home during Coronavirus - HERE.

You will be asked to confirm you accept these conditions by email before the booking can be confirmed.

Market Appraisals

We will restrict the number of property visits to reduce the risk of infection.  The property visit will be conducted by our Property Administrators who will take a video tour of the property, property pictures and details on one visit, this visit may take up to 2 hours to avoid re-visiting the property again.

  • You must follow the direction of our staff and maintain a min 2m distance at all times.
  • Our Property Administrators will discuss details of the property with the Lettings Director who will discuss marketing options with the landlord.

Offers/Tenancy Progression

We have invested in a new tenancy progression platform called Goodlord which enables applicants to supply all information online. As this is a new system please bear with us during the first few applications.

  • We will aim to progress tenancy applications using Goodlord and seek all documents through the online platform.
  • Right to Rent Checks to validate Passport/ID documents will be conducted using Facetime/WhatsApp.

End of Tenancy

Landlords must not assume that their tenant can move during the Coronavirus pandemic.

  • Government has introduced a 3 month notice period and all court possession cases have been suspended.
  • Landlord cannot give notice for 3 months.
  • Tenant must drop keys to office in unmarked envelope.
  • Check-out inspections will be conducted after 72 hour gap from date of vacating the property.
  • Any remedial works or cleaning can now be arranged but only one team at any one time (e.g. cleaner cannot attend same time as gas engineer).


Property inspection visits can re-start again and we are reviewing our approach to this announcement and will update this section shortly.

Maintenance & Cleaning

Essential property maintenance issues have been progressed and we are now able to carry out all other routine issues subject to contractor availability and access to the occupied property.

  • All tenants and contractors to confirm prior to the visit that no one in the household has Coronavirus, show symptoms of Coronavirus or are self-isolating.
  • Contractors must have and use appropriate PPE during any property visit.
  • Check the standard of cleaning between tenancies. Consider whether your current arrangements are sufficiently thorough.
  • If possible, necessary repairs, gas and electrical checks should be carried out in between tenancies. If this is not possible, then any visits should be done by appointment with measures in place to ensure social distancing is achieved.

Sun Street Premises

  • Make sure our staff are up to speed on social distancing measures and public health guidance.
  • Before returning to the office, thoroughly clean all hard surfaces with disinfectant and disposable cloths, including doors, door handles, desks etc.
  • Re-organise your office so that workstations are two metres apart and staff sit back to back, rather than face to face.
  • Adjust the office layout to help maintain social distancing while staff move around the building. Introducing a one-way flow if possible.
  • Provide team members with appropriate PPE Use floor tape and signage to help people keep two metres apart.
